Action Plan


(A) Introduce GoogleApps to improve administrative processes, in particular, Google+ & Calendar

In the Google Teacher Academy (as well as the visit to Academy for Careers in Television & Film), it was an eye-opener to me how the suite of GoogleApps can be deployed to improve administrative efficiency and productivity. It was amazing; however, with so many features that are available, I would like to narrow down into two areas that I think can be quite easily achieved; and it helps to lay good foundation before we introduce more features.

(1) Google+ to for Communication and Sharing 
  • Action Plan (Phase 1) - Jan/ Feb: With Staff
    • Introduction of Google+ homepage as a platform for announcements to staff 
    • Create "Communities" to support Professional Development - Learning Circles
    • Introduction of Hangouts to Staff for communication: Staff Announcements
  • Action Plan (Phase 2) - March - April: With Students
    • Structured communication platform with Students

(2) Use of Google Calendar to improve work flow and efficiency in organisation
  • Current situation: We are using GoogleSpreadsheet for the school's integrated calendar. We started using Google Calendar since 2009-2010 when we first "met" the Google platform and were unfamiliar with the various features available in the "Calendar" as well as the "GoogleApps". The purpose of introducing GoogleSpreadsheet is to make the learning curve less steep.
  • Action Plan (Phase 1) - Dec 2012: 
    • Structure of Calendars, Implementation Plan, Communication Plan, User Support.
    • Important to communicate the benefits of the change to staff (mental model - from user perspective)
    • Ensure Programme Owners able to use (integrate) various features in Calendar to improve efficiency (e.g. Booking of venues; reminders & notification; attachment/ access to related resources)
    • Bring staff (in particular key stakeholders of the Calendar system - EXCO and CorpComms) on board to start using the Google Calendar (e.g. inputting their timetable) to coordinate meetings
  • Action Plan (Phase 2) - April/May 2013:
    • Appointment scheduling using Calendar (for school events like School-Parent Meetings)

(B) A series of PD sessions for Teachers
